1️⃣ Buyer Inquiry & Requirement Discussion
At EkLingSpices, every export relationship begins with a detailed buyer inquiry and requirement discussion. This initial stage is critical to ensure clarity, transparency, and alignment between both parties. Buyers may contact us through our website, email, WhatsApp, or business references, sharing their specific requirements for Indian spices.
During this phase, our team gathers complete information regarding the product type (whole or ground spices), variety, grade, quality specifications, moisture limits, purity levels, packaging preferences, quantity requirements, and intended destination country. We also discuss regulatory or compliance needs specific to the importing country, such as standards applicable in the USA, UK, or Australia.
Understanding the buyer’s end-use—whether for retail distribution, food manufacturing, or further processing—allows us to recommend the most suitable spice grade and sourcing region. We also clarify preferred Incoterms (FOB, CIF, etc.), delivery timelines, and any sampling requirements.
This open and transparent discussion helps eliminate misunderstandings later in the process. Our goal at this stage is to provide honest guidance, realistic timelines, and accurate information so that buyers can make informed decisions with confidence.
2️⃣ Price Quotation
Once the buyer’s requirements are clearly understood, EkLingSpices prepares a detailed and competitive price quotation. Our quotations are structured to provide full transparency, ensuring buyers clearly understand the cost components involved in the transaction.
The quotation includes product specifications, unit pricing, total quantity, packaging details, and the agreed Incoterm such as FOB (Free on Board) or CIF (Cost, Insurance, and Freight). Pricing is calculated based on current market conditions, raw material availability, processing requirements, packaging type, and destination port.
We ensure that our prices reflect export-grade quality while remaining competitive in international markets. Any additional costs related to custom packaging, private labeling, or special processing requirements are clearly mentioned to avoid hidden charges.
Our quotations also specify estimated production timelines, dispatch schedules, and validity periods. This allows buyers to plan their procurement and logistics efficiently. In case of long-term or repeat orders, we are open to discussing pricing structures that support ongoing partnerships.
At EkLingSpices, we believe transparent pricing builds trust. Our team remains available to explain any aspect of the quotation and make adjustments where feasible to align with the buyer’s commercial expectations.
3️⃣ Sample Dispatch (If Required)
To ensure complete buyer satisfaction, EkLingSpices offers sample dispatch prior to order confirmation, where required. Sampling allows buyers to physically evaluate the product quality, aroma, color, texture, and overall suitability for their intended use.
Samples are prepared strictly according to the agreed specifications discussed during the inquiry stage. This ensures that the sample accurately represents the bulk material that will be supplied. We follow hygienic handling and appropriate packaging methods to preserve product integrity during transit.
Samples may be dispatched through international courier services, with shipping costs borne by the buyer unless otherwise agreed. Along with the sample, we may provide basic product details, origin information, and quality parameters for reference.
This stage helps build confidence and reduces risk for both parties. Buyers are encouraged to conduct laboratory testing, internal quality checks, or customer evaluations before proceeding with bulk orders. Any feedback received at this stage is carefully reviewed and incorporated, if feasible, into the final order specifications.
By offering samples, EkLingSpices demonstrates its commitment to quality assurance and long-term business relationships rather than one-time transactions.
4️⃣ Order Confirmation
After successful sample approval or direct agreement on specifications, the process moves to order confirmation. At this stage, both parties formally agree on product details, pricing, quantity, packaging, delivery terms, and payment conditions.
EkLingSpices issues a Proforma Invoice (PI) outlining all agreed commercial and technical terms. This document serves as the official reference for the transaction and is shared with the buyer for review and approval. Any clarifications or minor adjustments are addressed before final confirmation.
Once the buyer confirms the order and fulfills the agreed payment terms—such as advance payment or other mutually accepted arrangements—production and procurement activities are initiated. This structured approach ensures operational efficiency and minimizes delays.
Order confirmation marks the transition from negotiation to execution. Our team coordinates internally with sourcing partners, processing units, and logistics providers to ensure timely fulfillment. Buyers are kept informed about production schedules and expected dispatch dates.
This stage reflects EkLingSpices’ disciplined and professional approach to international trade, ensuring commitments made are commitments delivered.
5️⃣ Packaging & Quality Inspection
Quality assurance is a core principle at EkLingSpices, and the packaging and inspection stage ensures that only export-grade spices are shipped. Once the order is confirmed, spices are processed, cleaned, graded, and packed according to agreed specifications.
Packaging options include PP bags, jute bags, or customized bulk packaging, with weights such as 25 kg or 50 kg. All packaging is designed to protect the product during international transit and maintain freshness, aroma, and quality.
Before dispatch, internal quality checks are conducted to verify moisture levels, purity, and visual standards. Where required, third-party inspections or buyer-nominated inspections can be facilitated. Proper labeling is ensured in compliance with destination country requirements.
This stage minimizes the risk of quality disputes and ensures buyer satisfaction upon arrival of goods. EkLingSpices treats quality control not as a formality but as a responsibility to its international partners.
6️⃣ Shipping (FOB / CIF)
EkLingSpices offers flexible shipping options based on buyer preference, including FOB (Free on Board) and CIF (Cost, Insurance, and Freight) terms. Our logistics team coordinates closely with reliable freight forwarders and shipping lines to ensure smooth export operations.
Under FOB terms, we handle all activities up to loading the goods at the port of origin. Under CIF terms, we additionally arrange freight and insurance up to the destination port. Buyers are guided on the most suitable option based on cost efficiency and risk management.
We ensure proper container stuffing, sealing, and documentation to prevent damage or delays. Shipping schedules are planned to align with buyer timelines, and vessel details are shared in advance.
Our experience in international shipping allows us to proactively manage potential challenges, ensuring timely and secure delivery.
7️⃣ Documentation & Delivery
Accurate documentation is essential for successful international trade. EkLingSpices prepares and provides all necessary export documents, including commercial invoices, packing lists, bill of lading, and other required certificates as applicable.
All documents are prepared with precision to ensure smooth customs clearance at both origin and destination. Copies are shared promptly with buyers to support import procedures and compliance.
Once the shipment reaches the destination port, buyers are assisted with any documentation-related clarifications. Our responsibility does not end at dispatch—we remain available until successful delivery is confirmed.
This final stage completes the export cycle, reinforcing EkLingSpices’ commitment to reliability, transparency, and long-term partnerships.
